TERMS & POLICIES
Passion First Wrestling, Inc., doing business as Wrestling With Character (WWC)

The following policies govern enrollment and participation in Wrestling With Character programs and activities.
Parents and legal guardians are responsible for reviewing these agreements, providing accurate registration information, and discussing applicable expectations with their participating athletes.
1. ENROLLMENT, MEMBERSHIP & BILLING TERMS
Enrollment and Program Participation
WWC provides year-round wrestling opportunities through flexible, month-to-month enrollment. Families may enroll and begin participating throughout the year, subject to program eligibility and availability.
Enrollment does not require a long-term commitment. Families may participate for as many or as few months as they choose.
Athletes must participate in their assigned program or training group. WWC's coaching staff determines appropriate program placement based on age, experience, ability, readiness, and development.
Monthly Enrollment and Automatic Payments
Monthly enrollment fees are charged automatically to the payment method provided during registration.
Enrollment renews monthly until canceled. Payments follow each family's individual billing cycle and are not based on the number of practices attended.
By enrolling, the parent or legal guardian authorizes WWC and its designated payment processor to charge the applicable recurring monthly enrollment fee using the payment method provided.
Annual WWC Membership Fee
WWC requires a $35 annual membership fee for each participating wrestler to help support insurance, administrative expenses, and organizational costs.
Active members are ordinarily charged their annual membership fee each August.
New or returning wrestlers who have not paid the fee during the current membership year must pay it upon enrollment.
Families who have already paid the annual membership fee for the current membership year will not be charged again simply because they temporarily discontinued enrollment.
The annual membership fee is nonrefundable.
Cancellation Policy
Families may cancel their monthly enrollment at any time before their next scheduled payment. No 30-day notice, advance cancellation period, or long-term commitment is required.
Cancellation prevents future monthly renewal charges. Wrestlers may continue attending practices through the end of their already-paid billing period.
Simply discontinuing attendance does not cancel enrollment or stop recurring payments.
Families are responsible for completing the cancellation process through their applicable customer account or contacting WWC for assistance.
Payments already processed are not refunded or prorated because of cancellation.
Refunds and Missed Practices
Monthly enrollment payments are nonrefundable.
WWC does not provide refunds, prorated adjustments, or guaranteed credits for missed practices, illness, vacations, participation in other sports, scheduling conflicts, or unused portions of a billing period.
Makeup practices are not guaranteed. Alternative training opportunities may be offered at WWC's discretion.
Practice Schedules and Cancellations
WWC reserves the right to modify practice schedules, training groups, facilities, and program offerings as operational needs require.
Practices may occasionally be canceled because of severe weather, holidays, facility conditions, staffing, or other circumstances.
Monthly enrollment fees are not prorated or refunded for canceled practices.
Failed Payments
If a recurring payment is unsuccessful, WWC's payment processor may automatically retry the charge and send payment notifications.
Wrestlers may continue participating while their enrollment remains active during the payment recovery process.
Repeated unsuccessful payment attempts may result in cancellation of enrollment. Once enrollment is canceled, participation must stop until the wrestler is reenrolled or otherwise authorized by WWC.
Reenrollment
Families may reenroll after cancellation, subject to program availability, placement requirements, and the enrollment rates in effect at the time of reenrollment.
WWC does not ordinarily require payment of a previous unpaid subscription balance as a condition of reenrollment.
Enrollment Pauses
WWC does not currently offer a standard enrollment freeze or pause option.
Families wishing to take a break may cancel their enrollment and reenroll when they are ready to return.
Changes to Enrollment Pricing
WWC reserves the right to adjust monthly enrollment rates.
Families affected by a rate adjustment will receive advance notification before the new rate takes effect.
Families may cancel before the adjusted rate takes effect if they do not wish to continue enrollment at the new price.
2. PARTICIPANT AGREEMENT, ASSUMPTION OF RISK & LIABILITY WAIVER
Participation and Acknowledgment of Risk
Wrestling is a physically demanding contact sport involving inherent risks, including falls, collisions, physical contact, strenuous exercise, and wrestling techniques.
Participation may result in sprains, strains, fractures, concussions, infections, serious injuries, permanent disability, or death.
WWC takes reasonable measures to promote a safe training environment but cannot eliminate all risks associated with participation.
By authorizing participation, the parent or legal guardian acknowledges these risks and voluntarily permits their child to participate in WWC activities.
Health and Medical Disclosure
Parents and guardians are responsible for informing WWC of known injuries, medical conditions, physical limitations, or other health concerns that could affect their child's safe participation.
Families must promptly communicate changes in an athlete's health or participation restrictions.
WWC may restrict participation and require medical clearance when necessary to address safety concerns.
Illness and Injury
Athletes should not attend practice when experiencing a contagious illness or an injury or medical condition that prevents safe participation.
Coaches may remove an athlete from training when they identify a potential health or safety concern.
Athletes must comply with applicable return-to-participation requirements before resuming training.
Emergency Medical Treatment Authorization
In the event of an injury, illness, or medical emergency, the parent or legal guardian authorizes WWC coaches, staff, and representatives to seek or arrange appropriate emergency medical assistance when reasonably necessary.
WWC will make reasonable efforts to contact the parent or guardian using the contact information provided during registration.
If a parent or guardian cannot be reached promptly, WWC may seek emergency medical assistance without delaying necessary care.
Parents and guardians remain responsible for medical expenses incurred in connection with treatment, subject to applicable insurance coverage and law.
Assumption of Risk and Release of Liability
In consideration of WWC permitting participation in its activities, the parent or legal guardian acknowledges the risks described in this agreement.
To the fullest extent permitted by applicable law, the parent or legal guardian releases and agrees not to bring claims against Passion First Wrestling, Inc., doing business as Wrestling With Character, and its directors, officers, employees, coaches, volunteers, agents, and other covered representatives for injuries or damages arising from ordinary inherent participation risks or ordinary negligence, to the extent such claims may lawfully be released.
Nothing in this agreement is intended to waive claims or rights that cannot legally be waived.
The scope and enforceability of any release concerning a minor participant are governed by applicable law.
Parent or Guardian Responsibility
The parent or legal guardian confirms that they have authority to authorize the athlete's participation.
To the extent permitted by applicable law, the parent or guardian accepts responsibility for losses arising from their own wrongful acts, omissions, or breaches of this agreement.
Any additional indemnification provisions must be separately reviewed for legal enforceability before inclusion.
Photography, Video, and Media Authorization
WWC may photograph, film, record, and document athletes during practices, competitions, camps, clinics, and other activities.
The parent or legal guardian grants WWC permission to use their child's name, image, likeness, voice, and recorded participation for program communications, athlete recognition, educational materials, newsletters, websites, social media, advertising, and promotional activities.
No compensation will be provided for such use.
This authorization is a required condition of WWC enrollment and participation, subject to applicable law.
Agreement to Safety Requirements
Participants must comply with WWC's applicable health, hygiene, facility, and safety policies, including the Skin Health & Safety Policy outlined below.
Families understand that WWC may restrict participation when an athlete's health or safety requirements have not been satisfied.
3. PROGRAM POLICIES & CODES OF CHARACTER
WWC Philosophy and Guiding Principles
Wrestling With Character is committed to developing successful wrestlers and outstanding individuals through positive coaching, personal accountability, and character education.
Our three guiding principles are:
I. Focus on the Process
We prioritize individual improvement, consistent effort, and long-term development over short-term results.
II. Develop the Passion First
We strive to cultivate each athlete's enjoyment of wrestling and the internal motivation necessary for meaningful improvement.
III. Each Individual's Experience Matters
We recognize the unique needs, goals, abilities, and contributions of every athlete.
Our Six CHARACTERistics
WWC emphasizes six fundamental characteristics:
RESPECT — Follow the Golden Rule.
Treat coaches, teammates, opponents, officials, and others with consideration and respect.
ATTITUDE — It Is a Choice.
Maintain a positive approach to learning and improvement while taking responsibility for personal actions and emotions.
PASSION — True Success Comes From Within.
Develop an internal desire to learn, improve, and pursue meaningful goals.
INTEGRITY — Do the Right Thing.
Make positive choices, act responsibly, and demonstrate effort even when doing so is difficult.
DISCIPLINE — The Bridge Between Goals and Accomplishment.
Develop productive habits, follow established expectations, and consistently work toward improvement.
HONESTY — The Foundation of Character.
Practice honesty in communication, conduct, and relationships.
Athlete Conduct
WWC athletes are expected to:
Respect coaches, teammates, opponents, officials, and other participants.
Listen attentively during instruction and follow coaching directions.
Raise their hand or otherwise appropriately request permission to speak during instruction.
Demonstrate effort, discipline, and a willingness to learn.
Avoid disrupting or distracting other athletes.
Respect personal space and the belongings of others.
Use wrestling equipment and training facilities appropriately.
Avoid profanity, bullying, taunting, fighting, and intentionally unsafe behavior.
Athletes must not climb on wall mats, misuse equipment, or engage in unsafe activities before, during, or after practice.
Athletes should obtain a coach's permission before leaving an assigned training activity to use the restroom, get water, or speak with a parent when appropriate.
Parent and Guardian Expectations
WWC parents and guardians are expected to lead by example through respectful behavior, maturity, integrity, and positive personal character.
Families should support WWC's developmental philosophy and encourage effort, discipline, accountability, and enjoyment of wrestling.
Parents and guardians are expected to:
Treat athletes, coaches, officials, opponents, and other families respectfully.
Support their wrestler's individual development without placing unnecessary pressure on competition results.
Respect WWC's coaching curriculum and coaching decisions.
Communicate concerns respectfully through appropriate channels.
Avoid profanity, harassment, confrontational behavior, and inappropriate language.
Follow WWC's health, facility, enrollment, and participation requirements.
Parent Attendance at Practice
WWC encourages parents and guardians to drop their wrestlers off for practice whenever possible. This helps athletes develop independence, focus, and accountability.
Parents who need to remain during practice may observe, provided they do not interfere with instruction or create distractions.
Parents attending practice are expected to:
Remain off the wrestling mats and outside designated training areas unless invited by a coach.
Avoid communicating with, directing, or distracting wrestlers during practice.
Allow WWC coaches to provide technical instruction and manage training activities.
Address questions or concerns at an appropriate time, preferably outside scheduled practice instruction.
Avoid bringing siblings or other children who are not participating in practice.
WWC's priority is maintaining a safe, focused, and productive training environment for every athlete.
Coaching Authority and Program Placement
WWC's coaching staff determines appropriate training groups, program placement, advancement, and participation in specific training activities.
These decisions may consider an athlete's age, experience, technical ability, maturity, readiness, behavior, and developmental needs.
Participation in a program does not guarantee advancement to another training group.
WWC reserves the right to adjust placement when necessary for athlete development or safety.
Coach Conduct and Professionalism
WWC coaches are expected to demonstrate professionalism and serve as positive role models.
Coaches should:
Uphold WWC's guiding principles and CHARACTERistics.
Provide positive instruction, constructive feedback, and encouragement.
Treat athletes fairly and respectfully.
Prioritize athlete safety on and off the mat.
Avoid profanity, inappropriate language, and unprofessional behavior.
Respect officials, opponents, parents, and other coaches.
Communicate absences and scheduling conflicts appropriately.
Support WWC's coaching curriculum and organizational expectations.
Coaches are encouraged to participate in WWC's internal coaching development opportunities.
WWC does not currently require external coaching certifications or courses as a general condition of coaching.
Practice Preparation and Attendance
Athletes should arrive prepared for their assigned training sessions.
Appropriate athletic clothing, suitable wrestling footwear, and a personal water bottle are recommended.
Families are responsible for reviewing current practice schedules and communications.
Consistent attendance is encouraged for athlete development, but WWC's month-to-month enrollment does not require year-round participation.
Competition and Sportsmanship
Participation in wrestling competitions is optional and should be appropriate for each athlete's development, readiness, and goals.
WWC athletes representing the organization are expected to demonstrate sportsmanship before, during, and after each match, regardless of the outcome.
Athletes must follow coaching instructions, respect opponents and officials, and behave appropriately throughout competition facilities.
Parents should allow designated WWC coaches to provide technical and strategic instruction during competition.
WWC does not support or condone weight cutting for grade-school athletes.
Program Communication
WWC uses its website, email, Stack Team App, and other designated channels to communicate program information.
Families are responsible for reviewing relevant announcements, practice schedules, event information, and updates.
Concerns should be directed through appropriate WWC communication channels.
Policy Enforcement
WWC generally seeks to address conduct concerns through instruction, communication, correction, and appropriate accountability.
However, WWC reserves the right to restrict, suspend, or terminate participation when an athlete or family engages in serious or repeated misconduct, violates safety requirements, or significantly disrupts the training environment.
Any related enrollment or billing consequences will be handled in accordance with applicable law and WWC's enrollment terms.
4. SKIN HEALTH & SAFETY POLICY
Protecting Every Athlete Is a Shared Responsibility
WWC is committed to maintaining a healthy training environment and reducing the risk of contagious skin conditions.
Ringworm is one example, but any unusual rash, sore, blister, lesion, drainage, or rapidly changing skin irritation should be taken seriously.
Wrestlers, families, coaches, and WWC staff share responsibility for identifying and addressing skin-health concerns.
Reporting Skin Concerns
Parents and guardians must promptly notify WWC Support or a coach of any suspected skin condition.
Families should inspect their wrestler's skin before each practice.
No Exceptions — Do Not Practice
If a coach identifies or questions a skin condition, the athlete may not participate in practice until the concern has been appropriately evaluated and the required medical documentation has been provided.
A parent's explanation that a condition is a bug bite, rash, acne, eczema, or another harmless condition does not replace medical documentation.
Medical Evaluation and Return to Practice
When a skin condition is questioned, families must consult an appropriate healthcare provider.
The healthcare provider should diagnose the condition, document relevant treatment, and complete the required NFHS Medical Release Form.
The completed form must be provided to WWC before the wrestler returns to practice.
Documented chronic, noncontagious conditions may be addressed through current provider documentation in accordance with applicable NFHS guidelines.
WWC reserves the right to restrict participation until applicable return-to-practice requirements are satisfied.
Family Hygiene Responsibilities
Families and athletes should:
Check skin before every practice.
Shower promptly after training.
Wash practice clothing after each use.
Clean headgear, wrestling bags, and shared equipment.
Avoid sharing towels, clothing, or personal items.
Report suspected skin conditions promptly.
WWC Facility Practices
WWC's established skin-health prevention practices include:
Disinfecting wrestling mats daily after the final practice.
Vacuuming mats several times each week.
Using Mat Attack Plus disinfectant/fungicide.
Providing Defense Barrier Foam before practice.
Monitoring visible skin-health concerns.
Sharing notices and reminders through TeamApp.

5. PRIVACY POLICY

Introduction
Wrestling With Character respects the privacy of participating athletes and their families.
This Privacy Policy describes how Passion First Wrestling, Inc., doing business as Wrestling With Character, collects, uses, maintains, and shares personal information in connection with its programs, website, enrollment services, and communications.
Information We Collect
WWC collects information reasonably necessary to operate its programs and support athlete participation.
This may include:
Parent and Guardian Information
Names, email addresses, telephone numbers, enrollment information, billing records, and communications submitted to WWC.
Athlete Information
Names, ages or grade levels, wrestling experience, program placement, relevant health or participation restrictions, and competition participation or accomplishments.
Payment Information
WWC uses third-party payment and commerce providers, including Squarespace and Stripe, to process transactions.
WWC may access billing records, payment status, transaction history, and payment-method information made available through these systems.
Website Information
WWC's website and associated service providers may collect technical information, including browser information, device information, IP addresses, and website activity, through cookies or similar technologies.
How We Use Information
WWC uses personal information to:
Process and manage enrollments and payments.
Communicate with parents and guardians.
Determine appropriate training groups and program placement.
Coordinate practices, camps, competitions, and other activities.
Support athlete health and safety.
Maintain organizational records.
Recognize athlete accomplishments.
Send newsletters, announcements, and promotional communications.
Improve WWC's programs and operations.
Meet applicable administrative and legal obligations.
Email Communications and Marketing
Families enrolling in WWC programs are generally added to WWC's email communication list.
WWC uses email services, including Squarespace Email Campaigns, to send newsletters, program information, event announcements, and promotional communications.
Marketing emails include an unsubscribe option.
Unsubscribing from promotional communications does not necessarily stop essential enrollment, billing, safety, or administrative notifications.
Payment Processing
WWC uses third-party payment processors and commerce platforms to handle online purchases and recurring payments.
These providers process payment information under their own applicable privacy and security policies.
WWC may access transaction records and manage subscriptions through authorized administrative accounts.
WWC does not require families to send full payment-card information through unsecured email communications.
Athlete Health Information
Parents and guardians may provide information about injuries, medical conditions, or participation restrictions that affect safe participation.
WWC uses this information to support appropriate training decisions, address safety concerns, and respond to emergencies.
Relevant information may be made available to authorized personnel when reasonably necessary for athlete safety or program operations.
Photography, Video, and Athlete Recognition
WWC may photograph, film, and document athletes during its activities.
With the media authorization required under its Participant Agreement, WWC may use athlete names, photographs, videos, accomplishments, and competition results in program communications, newsletters, websites, social media, and promotional materials.
Families understand that publicly shared information may be viewed or retained by third parties outside WWC's control.
Sharing Information
WWC may share information with service providers that support its programs and operations, including payment processors, website providers, communication services, and administrative technology platforms.
Authorized board members, coaches, staff, and volunteers may receive access to information reasonably necessary for their organizational responsibilities.
WWC does not sell family contact lists or personal information to outside organizations for their independent marketing purposes.
Team Communications
WWC uses Stack Team App and other communication channels for team announcements, scheduling, program updates, and related information.
Third-party communication services maintain their own privacy policies and account controls.
Families should avoid posting sensitive medical or financial information in group communication channels.
Information Security and Retention
WWC takes reasonable measures to protect personal information against unauthorized access, misuse, or disclosure.
No electronic storage or transmission method can guarantee complete security.
WWC may retain enrollment, payment, participation, and communication records for legitimate operational, administrative, insurance, or legal purposes.
Children's Privacy
WWC primarily serves youth athletes.
Enrollment involving minors must be completed or authorized by a parent or legal guardian.
Information about participating athletes is used for program operations, athlete safety, communications, and authorized recognition.
Accessing or Updating Information
Parents and guardians may contact WWC to request corrections or updates to their family's information.
Certain billing and account information may also be updated through the applicable customer account or payment portal.
Requests involving access to or deletion of personal information will be reviewed in accordance with applicable law and legitimate recordkeeping requirements.
Legal Disclosures
WWC may disclose information when reasonably necessary to comply with legal obligations, lawful requests, or court orders, or to protect the rights and safety of athletes, families, WWC, and others, as permitted by law.
Changes to This Privacy Policy
WWC may update this policy to reflect operational, technological, or legal changes.
Updated versions will be published on the WWC website, with additional notice provided when appropriate or legally required.
